Position: Fund Development/Grants Administrator

Status: Full-Time, Salaried

Reports to: Marketing and Fund Development Director

Position Summary: This position is the primary grant writer and prospect researcher of foundation and corporation funding opportunities for the organization. Responsibilities include managing grants from identification of potential funder through reporting. Further support for the organization’s advancement efforts include fundraising appeals and special events, comprehensive oversight of all gift processing and donor database activity, and writing agency materials as needed.

Position Expected Hours of Work: This is a Full-Time position. Days and hours of work are Monday through Friday, 8:00 am to 4:30 pm. Occasional evenings and weekends. Staff is expected to be able to work in the office, remotely, or a hybrid of both, during regular business hours. This is a salaried position; as such, a minimum of 40 or more hours weekly may be required to complete job duties

Essential Functions of the Position:

Grant Writing

  1. Researches potential grant funding sources based Independence Firstprogram priorities.
  2. Conduct full range of activities required to prepare, submit, and manage grant proposals to foundations, corporate and government sources.
  3. Maintain current grant and proposal records in electronic and hard copy formats, including grant tracking and reporting criteria.
  4. Completes all required documentation and recordkeeping concerning grants and/or contracts.
  5. Perform prospect research on foundations and corporations to evaluate prospects for corporate and foundation grants to our programs and services.
  6. Other Grant Writing duties as assigned.

Fund Development

  1. Work with Fund Development and Marketing Director on all fundraising appeals and campaigns
  2. Serve as Fund Development liaison with Accounting Department to conduct monthly reconciliations and collect needed information for annual audit
  3. Manage donor database by processing donations received, executing thank you/acknowledgment letters for tax purposes, producing donor lists for annual report, and staying abreast of database updates.
  4. Other Fund Development duties as assigned.

Special Events

  1. Work with Fund Development and Marketing Director to secure event sponsorships, write materials, compile recipient lists and conduct sponsorship follow up, including generating invoices and tracking payments.
  2. Build events in Raiser’s Edge using Online Express.
  3. Track Event attendees
  4. Provide on-site support at the events, including set-up, and clean-up, troubleshooting and managing registration.
  5. Work with Fund Development and Marketing Director to provide input for written materials including the Annual Report and newsletters.
  6. Must develop an understanding of agency history and programs and services.
  7. Professional functions: Stays abreast of current events, news and trends to integrate into agency relationships and grant opportunities.
  8. Maintains confidentiality of all records.
  9. Other Special Events duties as assigned.

Experience and Skills:

Professional Qualifications:

  1. Minimum of Bachelor’s degree in a related field highly preferred. Extensive and appropriate experience may be considered in lieu of education.
  2. Minimum of 5 years non-profit grant writing experience preferred.
  3. Must have a firm belief in consumer control, the independent living philosophy and our agency Vision Statement.
  4. Experience in writing and the online or other submission methods of state and federal grants preferred.
  5. Strong written communication skills; ability to write clear, structured, articulate, and persuasive proposals required.
  6. Must have solid editing skills.
  7. Must possess excellent attention to detail skills.
  8. Strong contributor in team environments.
  9. Must have training or experience in program evaluation analysis utilizing an outcomes-based model.
  10. Excellent organizational skills and ability to work independently. Able to manage multiple, concurrent projects and deadlines.
  11. Computer literacy to include use of various software packages, including word processing, database, Excel and spreadsheet applications is required.
  12. Ability to readily adjust to change is preferred.
  13. Transportationally mobile or ability to arrange transportation, within the four-county Metro-Milwaukee area.
