Job Description:

I. Position: Business Specialist: Mobility Store


II. Status: Full Time (40 hrs/wk) - Non Exempt


III. Reports to: Mobility Store Program Director


IV. Position Expected Hours of Work: There may be some variability in the weekly schedule, but, typical hours will be Monday, Tuesday, Wednesday, Friday 8:30am - 5:00pm. Thursday 10:00am-6:30pm. Min 40 hours/week.

V. Mobility Store Position Summary: Handles the inventory management/pricing tasks of the retail store. Coordinate all administrative/accounting support functions for retail store operations including: daily reconciliations of sales, inventory/sales database management, maintaining program manuals, managing program receipts and check receipts. Act as the liaison between Mobility Stores and the accounting department, by collaborating on monthly reconciliation, check requests, invoices, etc.


VI. Mobility Store Essential Functions of the Position:


Daily Duties:

  1. Place all vendor orders.
  2. Price all inventory and prepare all pricing materials such as stickers and tags.
  3. Update pricing and products/equipment within database, warehouse and retail floors.
  4. Manage and verify all transactions to daily reconciliations.
  5. Manage program database and update as needed.
  6. Train staff on database and update pricing sheets as changes occur.
  7. Assist with check requests and invoices as needed.
  8. Other duties as assigned.


Weekly - Bi-Weekly Duties:


  1. Submit Constant Contact offers and add partners and customers.
  2. Collect Payroll for permanent and temporary employees.
  3. Manage and submit program receipts and check requests.
  4. Verify RG Loads and maintain a tally.
  5. Other duties as assigned


Annual Duties:

  1. Coordinate and perform inventory/counts.
  2. Collaborate with accounting staff on all year-end projects including the fiscal audit.
  3. Other duties as assigned.


VII. WisLoan Assistant Position Summary: Responsible for assisting the WisLoan Coordinator with the WisLoan and Telework Programs. Provide assistance to individuals throughout the application process and provide clerical assistance to the WisLoan Coordinator.

  1. VIII. WisLoan Assistant Essential Functions of the Position:


Daily Duties:


  1. Schedule appointments with consumers and send out the appropriate application.
  2. Create and maintain application packets.
  3. Follow up as needed with applicants to ensure that application content is complete.
  4. Drop off completed applications as needed to the bank.
  5. Other duties as assigned.


Weekly/Monthly Duties:

  1. Prepare and upload loan application materials for the monthly board meetings.
  2. Other duties as assigned.


Quarterly Duties:

  1. Ensure ILC’s reports and invoices are received and submit to accounting by the 5th of every month.
  2. Other duties as assigned


As needed:

  1. Order program supplies - coordinate and make requests for facility needs.
  2. Update program documents.
  3. Coordinate Volunteers - i.e. to assist with application packets, etc.
  4. Other duties as assigned.

Experience and Skills:

I. Professional Qualifications:

  1. Associates degree in accounting, finance or related field preferred, or other related life/work experiences.
  2. Knowledge of the Assistive Technology (AT) preferred
  3. Knowledge of the service system and funding options utilized by people with disabilities preferred.
  4. High skills in Excel, extremely organized and able to manage and juggle a wide variety of tasks.
  5. Excellent oral and written communication skills required.
  6. Valid driver’s license with the ability to be insured under auto insurance required.
  7. Computer proficiency with Word, Excel, Access and web applications.
  8. Self-motivated, able to perform with minimal supervision.
  9. Prior administrative experience.
  10. Good with people of diverse backgrounds.
  11. Good team player, positive attitude.
  12. Prior experience with business financial transactions.
  13. Ability to lift a minimum 40 lbs.
  14. Ability to communicate effectively and professionally to management, employees, applicants, and all customers.
  15. Must be detail oriented and possess strong professional phone etiquette
