I. Status: Administrative, Exempt

II. Reports To: Vice President of Human Resources

III. Position Summary: Manages the organization’s operations by directing and coordinating facilities, vehicles, and other administrative activities. Follows direction set by the President/CEO. Implements activities to ensure attainment of organizational plan. Provides direction and structure for operating units. Participates in developing policy regarding multiple facility operations, vehicles, and safety.

IV. Essential Functions of the Job:

  • Formulates the administrative policies of the organization, together with the President/CEO, Director of Finance, Vice President of IL, Vice President of PAS, Vice President of Human Resources, and the other directors of programs and services. Ensures that those policies are carried out effectively.
  • Keeps the President/CEO and the Management team informed of the affairs of the administrative division.
  • Reports to the President/CEO and Management Team any condition that may impede or improve the performance of the organization.
  • Establishes or recommends to the President/CEO major strategies, objectives, and policies for the organization concerning facilities.
  • Upon request, assists with the development of budgets and special studies.
  • Oversees the use of funds for administrative expenditures. Reviews all proposals for significant new expenditures, analyzes the justification for the expenditure, and is an essential member of the team that approves or denies the request.
  • Oversees the negotiation of purchasing contracts.
  • Maintains positive relationships with outside vendors and ensures that quality services/products are delivered to the organization in a timely manner.
  • Plans for office space location and office layout; personally oversees build out and repairs.
  • Supports the overall organizational goals of continuous improvement. Assesses administrative activity and actively seeks areas in which improvement is needed.
  • Estimates and orders materials for operations, maintenance, and repairs.
  • Actively participates in final inspections of all new projects concerning equipment operations/maintenance, assigned utility systems, and special equipment installations.
  • Reviews and analyzes completed work, reviews incurred costs, and unanticipated difficulties/delays to evaluate work processes, cost controls, and to anticipate or avoid problems.
  • Reviews work operations and inspects completed work to ensure that established quality and timeliness standards are met.
  • Develops, implements, and modifies methods and procedures to ensure proper equipment operation/maintenance and improvement.

Experience and Skills:

  1. II. Qualifications:

  • Background must demonstrate experience with planning, coordinating, and supervising the operations and maintenance of HVAC building service equipment and associated systems. Supervising the installation, modification, and repair of complicated equipment, systems and control devices.
  • Minimum of Bachelor’s degree. Extensive and related experience (5+ years) may be considered in lieu of education.
  • Prior experience in the related trades; Industrial Equipment Mechanic, Pipefitter, Electrician, Welder, Maintenance Mechanic, Locksmith, and/or Maintenance Leader is preferred.
  • Must have a thorough knowledge and be responsible for enforcement of applicable safety regulations and policies, safe work methods, and proper utilization of safety equipment.
    • Excellent communication skills and experience with successfully interacting with vendors and the community.
    • Strong leadership skills required.
    • Ability to juggle several tasks in one day; must be able to organize time wisely and effectively.
    • Must be able to communicate decisions clearly and effectively both in writing and verbally.
    • Extensive financial and analytical skills are required.
    • Knowledge of disability rights issues and independent living philosophy is preferred.
    • Knowledge of administrative procedures and legal compliance is required.
    • Ability to travel as job necessitates is required.
